PLANNING YOUR EVENT

At Carroll University, our experienced staff is capable of creating the right menu and atmosphere for your event. Early planning for your event will enhance your experience. After identifying your special date, please contact the Reservations and Event Services at (262) 524-7353 or events@carrollu.edu to determine space availability on campus. The Reservations and Event Services of Carroll University will plan your reservation and assist you with coordinating your event.
For your food needs, please call Chartwells Dining Services at (262) 650-4860 during regular business hours. Our professional catering staff will assist you with creating a memorable event. For this reason, we ask that you contact us a minimum of two weeks prior to your function.

OFF-CAMPUS CATERING

The primary purpose of the Catering Department at Carroll University is to provide outstanding catering services to the University as well as the surrounding community. If requested, we will be more than happy to work with you if you would like to hold your catered events off campus. Please contact our Catering Department at (262) 650-4860 for more information.

TERMS AND CONDITIONS

All Carroll University functions require a “Campus Food Service Authorization Form” be completed and submitted prior to your event. These may be obtained at www.dineoncampus.com/carrollu. You may also receive a copy of the form by contacting our office. Please send the completed form to the Catering Department at catering@carrollu.edu. Non-University functions require a signed facilities agreement be on file in the Events Office.

GUARANTEE NUMBER

Our policy requires a final guarantee 7 business days prior to your scheduled event. 

CONFIRMATION/BILLING

Functions requesting tax exemption must provide necessary documentation to Reservations and Event Services prior to the event. A copy of the final catering arrangements and the agreement will be sent to the client. Please review all event information for accuracy: date, time of delivery, setup, and food/beverage order. If a signed confirmation/agreement is not received, the preparation and billing will be based on the original reservation. University clients are required to make payment from their internal cost center. Non-University clients may pay with cash, check, or credit card (American Express, MasterCard, or Visa) upon receipt of the final invoice. Following the event an invoice will be generated by Reservations and Event Services and mailed to the primary client contact. Full payment is due upon receipt of the invoice.

LATE FEES, CANCELLATIONS, AND NO SHOWS

If you need to cancel your plans, notice is required five (5)  business days in advance of your event to help avoid charges for incurred expenses. Cancellations are to be made with the Catering Manager at (262) 650-4860. In the event your group will be arriving later than scheduled, please notify the Catering Department as soon as possible. A  $100 late will apply to orders not placed within the 10 day ordering guideline. please reach out to our Catering Dept for any questions you may have. 262-650-4860

DELIVERY CHARGES

Food and beverages catered on campus but outside the Campus Center will incur a minimum $10 delivery and $10 pick-up charge.  A Service fee of 15% or $250.00 (whichever comes first) may be applied to orders outside the Campus Center. . We will calculate the delivery charge into the event price for off-campus functions. Arrangements may also be made to pick up any order. Deliveries to the Center for Graduate Studies will incur a minimum $20.00 delivery and a $20.00 pick-up charge. 

WATER SETUP

 There may be a service fee for disposables on dispenser water for those orders that are not above $200 and/or not already ordering another beverage.
 
 
 
 

ENTRÉE SELECTION

A single entrée selection is recommended for all meal functions. If a second selection is necessary, the exact number of each entrée must be guaranteed 10 days prior to the event. Special dietary requests can be accommodated with prior notice. Color-coded place cards must be used to indicate where/to whom the special meal is to be served.

LEFTOVERS

Health regulations prohibit leftovers to be taken after a catered event.

PRICING

Prices on menus are subject to change without notice. Upon request, food and beverage prices can be quoted in writing  thirty (30) days prior to the event.

EXCLUSIVITY

Chartwells hold exclusive catering rights on the Carroll University campus. Food Trucks and External Vendors are strictly prohibited unless prior authorization is granted from Jonathan Gordon, Chartwells Dining Services Director. 

CATERING WAIT SERVICES

All buffet and plated meals include adequate wait staff. Should you desire additional servers or for an event that attendants are not assigned, you will be billed $30 per hour per service. Bartenders are available for $50 per hour.

DISPOSABLE/CHINA SERVICE

It is our policy that all catering orders are set up with china service. Paper products are used for picnic and food purchases “to go.” China service is available for off-campus events for an additional $3.50 per person. Disposable service is also available. Bamboo service  is available at an additional charge of  $3.50 per person. 

LINEN SERVICE

Linens are used for meals and informal beverage services. Tables that support food, beverages, and bar services are dressed with linen at no additional charge. Guest tables for served or buffet breakfasts, lunches, and dinners will have linen provided at no additional charge. Tables which might be subject to added linen fees include (but are not limited to): gift, cake, and display tables. Linen fees will be charged as follows:
Table Cloth at $6..00 each, Table Cloth with Skirting at 15.00 each. Any specialty linens or colors must be requested 7 days in advance.

A/V NEEDS

Carroll University Reservations and Event Services must be notified of any special services such as: AV needs, electrical connections, table and chair setup, staging, etc. The client will be charged at the prevailing rate. LIQUOR LAWS

State liquor laws require all alcoholic beverages be purchased and dispensed by our trained personnel. Alcoholic beverages may not be brought in or removed from the premises. Adherence to Carroll University alcohol policies and local liquor laws will be strictly enforced.
Carroll University is a non-smoking environment. Smoking is not permitted in any room, hallway, elevator, or restroom.
Wedding packages are available upon request.

LEAD TIMES AND ORDER MINIMUMS

We ask for 10 a day lead time on all catering orders. Though we require no minimum's,  orders during Commencement and Homecoming may be  prioritized.
